Delegating/Accessing Another User's Mail Folder in Microsoft Outlook 2002 (XP)

 

To delegate access to another user's mail folder:

  1. Go to Tools menu > Options; click the Delegates tab.
  2. Click Add.
  3. Select the user you want to delegate access to and click OK.
  4. Set permissions for the user. You can specify if a delegate has access to your private items, and whether an email should be sent informing him/her about his permissions.
  5. Click OK.
  6. After the delegate has permissions you can choose to send meeting requests and responses to the delegate only.

To open another user's mail folder:

  1. Go to Tools > Email Account > "View or change existing e-mail accounts".
  2. Select Microsoft Exchange Server and click Change.
  3. Click More Settings; click the Advanced tab.
  4. Click Add and enter the user's name as the mailbox to open.
  5. Change to Folder List view; you should now see the additional mailbox.
  6. Click on the "+" to expand the folder selection. If you get a permissions error, go back to the owner's Outlook, right-click on their "Mailbox - <owner's name>", select "Properties", then on the Permissions tab. Add the delegate's name to the list and give them a Permission Level of Publishing Editor.
